Here are some steps you can take toward planning events for your business! You can start off small if you’ve never done an event before and organize a 1-day event or even just a partial day event. From there, you can move up to eventually having large 3-day events. The benefit of a live event is the personal interaction and the connection you’re able to make with your attendees. Typically your highest likelihood for making a sale is when you’re in a one-on-one, face-to-face environment. However, the next best thing to that is a one-to-many, face-to-face environment (i.e. a live event)! Some of the concerns that can naturally pop up when planning an event may be: What if nobody shows up? What am I going to talk about? How am I going to pay for it all? What if nobody buys? The first thing to do if any of those “fear-based” thoughts pop up is to realize that they are an indication that you are about to have a growth moment. Don’t run away from them. Embrace them and go toward them. An important step that can help all of that is to hire an event planning company. A good event planning company should be able to pay for their fee just from the benefit they provide in the contract negotiation. You want to approach the planning from the perspective of, “What is it that I want my attendees to experience and get out of this event?” Once you know your end attendee goal or your value proposition you can then frame out the steps of what you need to go through with your attendees to get them there. Believe it or not, once you factor in breaks, transition times, etc., the amount of time you have to actually speak is a lot less that you think. The key is to give incredible value. Don’t hold anything back. Give you best stuff, your most beneficial information and strategies. Not only does this create a great experience for your attendees, but it makes it substantially easier to generate sales from your event. A massively important aspect of the planning process is how you’re going to fill the room. Definitely tap into your existing network for that. If you don’t have an existing network, then perhaps you can partner with other groups or influencers in your area. The planning process is essentially the same, only bigger, with more opportunity to add value and create a unique and powerful experience, when you move from a 1-day event to a 3-day event. Watch more How to DJ videos: http://www.howcast.com/videos/498802-How-to-Plan-for-an-Event-DJ-Lessons There are different events out there,there are clubs,private parties,private functions,there's also like city gigs,college parties or there might be like actual dance competitions which I DJ a lot.I start off by locking in my price.Once I lock in my price,I have the address,I know what time I need to be there to setup.So if the event starts at 7.00,I am not gonna be there at 7.00 because I have to give myself time to set up.So I am gonna show up at 6.00 or maybe 5.30.If I need to drive long distance,I also have to take into consideration that there might be traffic,you never know what the weather is gonna be like for that day,so you wanna definitely plan ahead give yourselves enough time.A good friend of mine told me when you show up early you are on time,when your on time you are late,when your late you might as well not show up,Right?So something to keep in mind.Also getting your music together,for that type of an event like B-boeing competition I usually play old school hip-hop,funk,some disco.So I organize those crates, make sure that I have those crates set up.And I also have music for ciphers like when people are dancing and just like warming up and then I have music for the actual competition for the battle.So I don't wanna play anything that I am gonna use for competition and play it in a cipher because i don't like to repeat songs.So depends on what the event is you wanna definitely organize your music and pretty much set it up for that event.Also if there's any promotional material that you would like to bring with you to brand yourself,coz it's all about branding,right? So I go by the name DP one,if you know this I am wearing a DP one shirt.This is done purposely so that I can brand myself.Whenever I am 'DJ'ing and playing outdoors,I also might wanna set up a banner.I wanna bring up some stickers to pass out.I definitely bring my business cards,you never know whom you gonna meet.You wanna make sure that you can generate more business.Also you might want to have customized drops ready,so when you are playing you can let people know who's spinning because you don't want that credit to go to someone else.Doesn't hurt to get on the mic as well and let the people know who you are and if there's any other events that you might be 'DJ'ing,promote those events.And you can also promote whatever event you are about to do,or the events that are up and coming using Facebook or Twitter or like sending out an email blast.So this is how you plan to have a successful event.You want people to come to that event,right? So you definitely have to spread the word as well as the promoter.You have to take all these things into consideration and this is the best way going about a doing something.

You have a lead on a potential client and you’ve met with the potential client to discuss their wants and needs for their event. And then the conversation turns to the topic of getting paid and the finances of the event. At this point, anxiety might set in especially if you’re new to event planning and discussing finances with your client. And you might start questioning things how much do I charge for my event services, am I charging too much, am I charging too little money, are they going to hire me because I really want to work with this client? So what do you do when your client’s budget is too low for the event planning job? 0:01:01 First and foremost, always be honest and transparent with your client. If you not feasible to work within their budget, let them know that, but do it tactfully. However, if there is room for movement, here are 3 options to help you work with your client and their budget: 0:01:15 - Option #1 - Plan rather than manage their event– Instead of doing the job from start to finish so planning it from the beginning and then executing the actual event and completing the post-event budget and evaluation, discuss planning the event for them and having someone from their team manage the event on site. 0:01:34 - Option #2 - Trade services – this is a great option when there are products or services that both you and your client can benefit from. Is there an area of your business that you need help with; an area that your client specializes in? For example, is your client a designer who can help build your website, or are they in marketing and able to help you promote your business or create a marketing plan? 0:01:56 - Option #3 - It’s important to educate your client so they understand the scope of the event and all the pieces that go into pulling off an amazing and successful event for them, and that hiring you is an investment for their business. But be prepared to walk away. You need to know what your bottom line is before going into a client meeting and how much you need to charge in order to make a profit. If the client can’t afford you, let them know what your fee is for their event, and then allow them to decide if they can increase their budget. Now, I’d love to hear from you. Skip the tent: Having a portion of your event under the blue sky can be both beautiful and frugal. However, always have a backup plan and a place for your guests to get out of the sun.
